General Information

Please read carefully below instructions before applying for passport.

Important Points:

  • Only applicants residing in the Consular jurisdiction (check your jurisdiction here) of the Embassy/ Consulates can apply with the respective Embassy/Consulate.

  • Applicants are required to submit a recent copy of meldebescheinigung (Address Proof) along with the passport application.

  • Consular surcharge of Euro 2 shall be levied on all passport services and must be paid along with passport fees specified

  • Payment is accepted preferably through Bank transfer or in cash to be paid at Embassy's cash counter. Debit/Credit cards are not accepted.

  • Processing of a completed passport application may take up to seven weeks. Please refrain from making inquiries during this period.

  • Tatkal facility is not available at the Embassy of India Berlin.

  • For delivery of new passport booklet by Post, please send a medium-size (C5) self-addressed and stamped worth Euro 4.25, envelope along with your application.

Procedure for application

  1. Register through the Global Passport Seva Online Portal (https://portal6.passportindia.gov.in/Online/index.html) (Choose your country of residence, complete the required information and click on "Register" link.
  2. Login to the Global Passport Seva Online Portal with the Login ID created in Step 1
  3. Select "Type of Service"
  4. Fill in the required details in the application form and submit.
  5. Click the "Print Application Form" link to print the application details containing Application Reference Number (ARN) and other details
  6. Visit the Embassy for the submission of the Passport application along with the applicable fee (paid only in cash) and required original documents for verification (Checklist of the documents required for the different types of services,  click here) or you may choose to send your application by post. When applications are sent by post, only online payment made, find the details here and payment proof must be enclosed in the postal correspondence.

Types of Passport Services

    • Re-issue of new passport due to Exhaustion of Pages/ Expiration of validity/change in Appearance

(i) Applications for reissue of passport can be submitted less than one year before expiry of the passport.
(ii) If all the pages have been utilized, an application may be submitted.
(iii) Application for a new passport must be submitted if there is change in appearance or there has been changes/corrections in personal particulars of the applicant. (eg: address change, spouse name addition, gender change)

  • Duplicate passport in lieu of Lost or Damaged Passport

Please Note:
Transit passengers whose passport is lost/damaged and are returning to India can be issued an Emergency Certificate. An Emergency Certificate, a one-way travel document which authorizes an Indian national to enter India, is issued to those whose passport has been lost, stolen or damaged and to whom a new passport cannot be issued immediately. This service is primarily extended with the objective of ensuring a transit passenger´s return to India. 

  • Passport for Children below 18 years of age

  • Passport to a New Born Child

Please Note:
(i) Before applying for passport for the new born child, one needs to submit the application for birth registration of the new born child.
(ii) For a child born in Germany to be registered as an Indian citizen the application must be made within one year of the child's birth on the prescribed form. (please see details here)
(iii) At least one of the child's parents must be an Indian citizen at the time of applying. Copies of passports of both parents and original birth certificate of the child (plus a copy) along with the application.
(iv)  If birth registration of the child with the Embassy is sought after one year of birth, the parents of the child are required to state the reasons for the same in writing. Additionally, an affidavit needs to be submitted by the parents stating that the child has not acquired German nationality. Local authorities should also confirm non-acquisition of German nationality by the child. The passport issued is valid for five years. 

  • Replacement of passport due to Change of Name after marriage, remarriage or divorce.

In addition to the documents mentioned in the check list for Re-issue of Passport, following additional documents will be required for change of name in the following cases.

(i)  When a person has no Surname and wishes to split his "Given Name" as "Given Name" and "Surname"

    1. Sworn Affidavit stating the intention to change the Name.
    2. Two public documents issued from India with Name (Given name and Sur Name written in row or separately)
    3. (Birth certificate, PAN Card, Aadhar Card, School Leaving certificate, etc.) Original public documents has to be produced at the counter for verification.

    4. If two public documents are not available, kindly follow the procedure for Change of Name by submitting one original newspaper advertisement/Gazatte announcing change of name (circulation of the newspapers in the area of permanent address in India and present address in Germany).

      • Addition of "Surname" where a person previously only had "Given Name".

      • Change in "Given Name" / "Surname".

        • Sworn Affidavit stating the intention to change the Name.
        • Two newspaper advertisements about change of name (circulation of the newspapers in the area of permanent address in India and present address in Germany). Kindly wait for a period of one month after insertion of advertisements.
        • Two public documents issued from India with the new Name

For Ladies, change of name from maiden name to married name. 

        • Sworn Affidavit stating the intention to change name
        • Copy of Marriage certificate(Original has to be shown at the counter) and Spouse Passport copy

For widows/divorcees, change of name on re-marriage.

        • Sworn Affidavit stating the intention to change name.
        • Original Divorce deed / Death certificate/Marriage Certificate and spouse passport copy, as the case may be (Original has to be shown at the counter).

Married women wishing to revert to maiden name when not divorced or widowed.

        • Sworn Affidavit stating the intention to change the Name.
        • Two newspaper advertisements about change of name (circulation of the newspapers in the area of permanent address in India and present address in Germany).
